Five pricing models
Per seat, per device, per employee capacity, per feature tier and unlimited — and which costs grow under each.
The headline price is rarely the total, and the biggest cost is usually the one not being quoted. Here is how attendance software is priced, what drives the cost beyond the licence, and the specific places charges appear.

Per seat, per device, per employee capacity, per feature tier and unlimited — and which costs grow under each.
Terminal hardware, the agent PC, installation, migration, annual support and optional modules.
PKR 18,000/month for 30 users, 25,000 for 50, 40,000 for 100+, each with devices and sync agents included.
Ask for a first-year total in PKR, and for the price at 60 and 120 employees.
A system staff distrust is abandoned within a fortnight and the licence becomes pure cost.
It is not extra effort. It is the cheapest way to prove the calculation before payroll depends on it.
Attendance software pricing looks simple on a pricing page and is rarely simple on an invoice. The headline number is rarely the total, and the biggest cost is usually not the one being quoted. This page explains how attendance software is priced, what actually drives the cost, and the specific places where charges tend to appear.

Every product you will be shown uses one of these, and the model determines which costs grow as you expand.
| Model | What scales the bill | Watch out for |
|---|---|---|
| Per seat / per user | Number of people with logins | Employees who need no login may still count |
| Per device | Number of terminals | Does not cover payroll or leave cost separately |
| Per employee capacity | Headcount you must cover | Ask whether peak headcount or average sets the tier |
| Per feature tier | Modules you enable | Optional modules can cost as much as the base |
| Unlimited / flat | Nothing | Confirm there is no fair-use limit |
The licence is usually the smallest part of the first-year total. These are the items that decide whether a cheap quote stays cheap.
| Cost | Typical magnitude | Often disclosed? |
|---|---|---|
| Biometric terminal hardware | One-off, per site | Sometimes, via a reseller |
| PC to run the sync agent | One-off, often reused | Rarely |
| Installation and commissioning | Modest to significant | Sometimes, as a separate quote |
| Data migration from spreadsheets | Varies widely with data quality | Rarely, and often underestimated |
| Annual support or renewal | Recurring, from year two | Sometimes |
| Additional devices or sync agents | Recurring, per plan tier | Usually |
| Optional modules such as payroll | Recurring, significant | Usually |
Every plan includes employee management, attendance and shift tracking, biometric sync, leave management with approval routing, self-service, role-based access and standard reporting. Larger plans add devices and sync agents.
Payroll, advanced reports, shift rosters, WhatsApp notifications and recruitment are licensed separately, so you do not pay for modules you do not run.
| Plan | Employee capacity | Devices | Sync agents | Price |
|---|---|---|---|---|
| 30 Users | 30 employees | 2 | 1 | PKR 18,000/month |
| 50 Users | 50 employees | 4 | 1 | PKR 25,000/month |
| 100+ Users | 100+ employees | 6 | 2 | PKR 40,000/month |
These questions separate quotes that are comparable from quotes that are not, and they are the ones most worth asking before rather than after.
The largest risk in a project priced on licences is not overpaying for software, it is paying for software that does not get adopted. An attendance system staff distrust stops being used within a fortnight, and the old spreadsheet comes back, and the licence is now pure cost.
The protection is not a cheaper licence. It is proving the calculation is correct before go-live, which is what a parallel run is for.
Most commonly per employee or per device, sometimes with modules charged separately. The model matters because it determines which costs grow as you expand, so ask which basis applies and whether peak or average headcount sets your tier.
Usually higher than the headline licence, because biometric terminal hardware, the PC that runs the sync agent, installation, data migration and annual support are often quoted separately. Ask for a first-year total rather than a licence price.
Usually yes, unless you already have a Windows PC on the office network that can stay on continuously. The agent needs to run reliably for punches to relay, so it is normally a dedicated or always-on machine rather than a shared laptop.
Per employee capacity, in PKR, with a device and sync-agent allowance included in each plan. This means the total cost is predictable as headcount grows, rather than increasing with every extra terminal.
Ask for a full export as a condition of purchase, and get the answer in writing. Any vendor that will not commit to exporting your employee and attendance data is telling you something important about what happens when the relationship ends.
